Scored by a Toolio reviewer after real useOur verdict
Paperless is a hosted version of the open-source paperless-ngx project: it imports documents from email, scanner, or upload, makes everything full-text searchable, and can auto-tag and file things by rule. Its AI assistant answers questions about a single document or your whole archive, but it isn't built in - you supply your own AI provider key to use it. Pricing starts at €9 a month after a 14-day trial, with the entry plan capped at 2GB of storage, so a large archive will need a higher tier.
✓What it does well
Full-text searchEvery imported document, from PDFs to photos, becomes fully text searchable.
Flexible importingDocuments come in via upload, mobile app, scanner FTP, or auto-fetched email attachments.
Auto-organizing rulesRules can automatically categorize, tag, and file new documents as they arrive.
✕Where it falls short
AI needs your own keyThe AI assistant requires you to bring your own AI provider key rather than a built-in model.
Entry storage is smallThe Essential plan limits you to 2GB of storage and 16MB uploads.
Recurring subscriptionBeyond the 14-day trial, ongoing use costs at least €9 a month, not a one-time purchase.
